Keep Posted is Windows desktop software that emails each of your customers their own reminder about the dates that come round again - renewals, services, inspections, filing deadlines, memberships - on the schedule you set. One customer per email, sent from your own mailboxes.
It runs quietly on a normal office PC. There is no server, no per-user fee and no suite to migrate to, and your client records stay in the software's local database on your own machines.
UK small businesses - anyone up to about 20 staff who chases recurring dates from a spreadsheet and an inbox, and does not want a £40-per-user-per-month suite just to send reminders. It was born in accountancy and built alongside a working UK accountancy practice, which is why the handling of accounts filing, VAT quarters, PAYE, CIS and CIS300 deadlines is unusually thorough.
It does the same job for letting agents and landlords, garages and MOT centres, vets, groomers and dentists, trades and installers, and clubs, gyms and brokers. If you keep the dates in a spreadsheet today, Keep Posted can send them: there is an accountancy starter pack in the box if that is your trade, and a blank sheet if it is not.
£149.99 a year per business - not per user. That covers every reminder group, every mailbox and unlimited customers. Keep Posted is licensed by annual subscription for one practice or organisation, and the licence covers installing the software on that organisation's own computers for its own business use.

Set it up once. Add each client with the deadlines that apply to them, decide when reminders go out ahead of each date and what they say, and let it run. Keep Posted sends on schedule from a normal office PC; if the machine was off over the weekend, it works out what was missed and sends it the moment it is back on - once, not twice.
Before anything goes out you can preview the run as a dry run: the reminders queue up in the preview and nothing is sent until you say so. Two short clips on the home page show the real thing.

Because one wrong BCC is a data breach. Misaddressed bulk email is one of the most commonly reported data breaches to the ICO, year after year, and ICO guidance tells organisations to use mail-merge-style individual sending instead of BCC for bulk communications.
That is exactly, and only, what Keep Posted does. The one-customer-per-email guard is a hard rule in the software, not a policy in a drawer: it physically cannot put two clients in the same message, so no customer ever sees another customer's name.
Yes. Each department can send from its own mailbox - VAT reminders from one address and PAYE reminders from another, as in the example on the home page - so replies land with the right person rather than a shared inbox. Because emails go through your own mailboxes, every reminder sits in your sent folder as a record, not on someone else's platform.
Yes. Every template is editable, so reminders go out in your tone with your sign-off. You decide what you track, what the message says and how far ahead it goes out.

Only on your own computers. The client names, contact details, deadlines and send history you keep in Keep Posted are stored in the software's local database on your own machines - never uploaded to us and never synced to a cloud. We cannot see them, and for that data you are the controller; we are not even a processor of it. Backups the software makes are encrypted files saved where you choose.
The application contains no analytics, no tracking and no usage reporting, and makes no network connections of its own other than the email sending you configure. This website sets no cookies and runs no analytics. The privacy policy has the detail.
It is built for reminders about a customer's own renewals, services, inspections and deadlines - service messages to your existing customers. Marketing to new prospects is a different thing with different rules (PECR consent), so keep the two lists and the two purposes separate.
You remain responsible for the wording of the emails you send, the mailboxes you connect and compliance with the law that applies to your communications, including UK GDPR and PECR. The dry-run mode and the one-client-per-email guard are safety aids, not a substitute for your own checks.
If you buy as a consumer you may cancel within 14 days of purchase for a full refund, unless you have already activated and used the software, in which case any refund may be reduced to reflect use; your statutory rights are unaffected. Business purchases are refundable within 14 days if the software has a fault we cannot resolve. The full wording is in the terms.

A current subscription includes the updates we release for the version you licensed. Deadline templates and schedules are general starting points, not tax, legal or accounting advice - confirm deadlines against HMRC and Companies House requirements for each client.
